Automatically Matching Receipts in Teampay

Teampay now automatically matches uploaded receipts to card transactions in the web app

TLDR: Upload receipts in the Teampay web app. Teampay automatically matches what it’s confident about and shows you the rest in Needs Review.

How to get started

• Open the Teampay web app
• Go to the Receipts tab

• Upload receipts in bulk (PDF, PNG, JPG — multiple files and pages supported)

  No setup required.

How matching works

Teampay analyzes receipt details and compares them to recent card transactions using:

• Merchant
• Amount
• Date

Each receipt is given a confidence score.

• If the confidence is above 60%, the receipt is matched automatically
• If confidence is not high enough, the receipt goes to Needs Review

In Needs Review, Teampay suggests the best match.

When a receipt doesn’t match automatically

A receipt may require review if:

• The image or PDF is blurry or hard to read
• The vendor name isn’t clear or doesn’t match the transaction
• There are multiple similar transactions for the same amount
• The receipt is for a transaction older than 90 days
• The receipt was already used for another transaction

When this happens, nothing is lost — the receipt simply goes to Needs Review.

Reviewing and confirming matches

From Receipts → Needs Review, you can:

• Bulk confirm Teampay’s suggested matches
• Or manually match receipts by searching the transactions you have access to by:
  • Vendor
  • Amount
  • Date range

Manual matching takes seconds, and nothing is lost.

Where receipts appear

• All matched receipts are stored on the Transactions tab
• Each transaction shows its attached receipt directly

What stays the same

• Receipt notifications still come through Slack, Teams, and email
• Receipts uploaded via Slack, Teams, or individual transactions continue to work as they do today (manual attaching) 
• Existing roles and permissions still apply
• Works for Teampay cards and imported cards

What’s not included

• Duplicate receipt detection
• Receipt audit trails
• Automatic matching for receipts uploaded via Slack or Teams
