Overview:
HRIS syncing enables an organization to automatically sync their employee directory from their HR system to Teampay.
We currently connect with eleven HR and/or payroll systems from the org settings view.

After choosing an HR system and verifying it using your HR system's domain, username, and password, you are brought back to the settings page. Once the connection is set up, a daily syncing process will pull employee data from the HR system to Teampay.
On a daily basis, users will be matched between the HRIS and Teampay based on their email. In order for our customers to get the most accurate results, users' emails should generally match between Teampay and the HR system. If an email match is found, users can then be onboarded, offboarded, synced, and reactivated automatically in Teampay.
Onboarding & Offboarding:
During the daily automated syncing process, we attempt to make an org's Teampay user directory match its HRIS directory as close we possibly can. Changes that are done manually in the HRIS, will be automatically synced to Teampay during the daily sync.
We will match the user based on email - the following automated steps will occur:
- If a user exists in the HRIS, but not in Teampay, we will create a new Teampay user for them.
- If a user exists in the HRIS and in Teampay, but they are disabled in the HRIS, we will offboard that user in Teampay. This will prevent the user from logging in to Teampay until they are reactivated in the HRIS.
- If a user exists in Teampay but does not exist in the HRIS, we will deactivate them in Teampay.
Attribute Setting:
The daily automated sync will also include syncing attributes for existing users. Attributes on the employee profile page in Teampay should match the corresponding employee profile in the HRIS. The following attributes will sync:
- Active status (see onboarding/offboarding above)
- First name
- Last name
- Address (not currently viewable in Teampay, but we plan on using this in the future for card ordering)
- Job title
- Manager
- Role
- Location (will only sync if they already exist in your accounting integration)
- Department (will only sync if they already exist in your accounting integration)
- Auth type (their login method, i.e. do they log in using Slack or Google, etc.)
Note that after an attribute syncs from the HRIS, it will be read-only in Teampay.
Multiple Subsidiaries:
We do support HRIS syncing for organizations with multiple subsidiaries. A multi-sub user, who is synced to the HR system, will see their profiles update the same way across all subsidiaries they’re a part of.
