People
With People you have full control over your team roles and profiles. While giving you a clear breakdown of each user’s individual spend.
To begin using People, you’ll want to navigate to your Teampay.co web app.
- Select the ‘Teams’ Dropdown
- Then select ‘People’
This will open up to a directory of all the user profiles in your organization. Once there, you can begin to work with all of the tools that help you manage your Teampay users.
User Management
You can open a user’s profile by selecting the employee from the list of your User Directory. Once there, it will give you a full overview of that employee’s recent requests and transactions. This is also where you can make any adjustments to the employee profile.
Updating a Role
If you’re an admin, you can modify your employee’s role directly from their profile. To begin, you’ll want to click the ‘Actions’ button on the top right-hand corner or clicking the on Role;
- Next, select ‘Edit Role’
- Select the updated permission
- Save changes
Updating User Profile Information
You can make updates to your employee user profile details directly from this page as well. To edit the profile details you can begin by selecting any of the following: Department, Job Title or Time zone.
- Next update the detail for the user
- Select ‘Save’
Viewing Historical Request & Transactions
You can easily view historical Teampay activity from when clicking into the user’s profile. Once there, you can select either Request or Transaction. You can expand specific transactions or request to see all the relevant details pertaining to a transaction or purchase requests.
Out of Office
Scheduling OOO
If you or your employee is going to be out of the office you can automatically redirect your request to another designated user. To begin, you’ll want to click into the user’s profile you want to schedule an out of office;
- Next, select ‘Actions’ in the right-hand corner or tap the word ‘Available’
- Select ‘Edit Availability’
- Then you’ll want to set your availability. You can start your OOO immediately or schedule it for a date in the future.
- Select who you’d like to route your request to
- Hit ‘Save Changes’
After you finish scheduling your out of office and routing your request, the approver of your request will receive a notification.
Cancelling OOO
To cancel your scheduled OOO you’ll want to navigate back to your user profile;
- Tap ‘Actions’
- Select ‘Clear’
- Then hit ‘Save Changes’
After you hit save all of your request updates will be undone
Offboarding
Offboarding
If an employee departs from your company, you can easily deactivate their profile on Teampay and make sure all of their cards and requests are routed to someone else. This ensures there are no bills missed or cards falling through the cracks. After you receive the notification that the user has been removed from your organizations Slack or GSuite account you’ll want to navigate to the profile of the user you want to offboard;
- Select ‘Actions’ on the user’s profile in the upper right corner.
- Select ‘Offboard User’.
- Now you’ll want to make sure you reassign all of the users Teampay cards and requests. This action is very important because it ensures any cards associated with the user are still be overseen.
- After you reassign all the user’s cards and requests - the new approvers and cardholders will be notified.
